Information Architecture & Microsoft 365

Information Architecture involves designing and organizing systems in order to facilitate the effective sharing and utilization of knowledge within an organization. This includes ensuring that the appropriate information is delivered to the appropriate individuals in a timely manner, with the goal of improving the overall performance of the organization.

At AppsHost, we approach the adoption of Microsoft 365 from the perspective of Business Consultants and Information Architects. Based on our experience, we have found that without this approach, most Content & Collaboration Solutions are likely to fail. We believe that our background in these areas allows us to effectively address the challenges and complexities of implementing Microsoft 365 in a way that maximizes its potential for success.

Individual

Microsoft 365 offers a range of tools that can be used by individuals and shared among team members. These tools include cloud storage through OneDrive, as well as various methods of sharing files, such as through Teams 1:1 chat, email, or share links. This allows team members to store and access documents within the organization in a collaborative manner.

Information Architecture collaboration extends beyond the limitations that some users may associate with "poor" knowledge management experiences, which they may refer to as simply "collaboration." In fact, Information Architecture collaboration encompasses a much wider range of activities and capabilities.


Organizational Content & Communication (Intranet) 

An effective Intranet should enable new employees to easily locate the information they need to perform their job duties. If this is not the case, then the Intranet has failed in its purpose. Centralizing formal organizational content and communications in a single location helps to clarify where approved corporate content can be found, establishes a single source of authority, and promotes consistent branding. It also serves as a hub where organizations can promote the use of other systems and resources to team members.

Ad-hoc Conversations: 

Microsoft Teams enables users to create informal chat groups for collaboration, which can facilitate file sharing through OneDrive. However, sometimes these chat groups may not be sufficient and more advanced tools are required. At AppsHost, we have expertise in creating effective collaboration groups that meet the needs of the team.

Collaboration Groups: 

When working with organizations, we often divide collaboration groups into different types. These group types are used to assign unique drive letters, which represent different levels of permissions or specific uses. This same concept applies to Microsoft Teams and Microsoft 365, where it is important to consider the different needs of different groups, such as a community group versus an external workspace with vendor partners. 365 Groups serve as the central membership group that controls access to SharePoint Team Sites, Teams, Planner and more, allowing us to effectively manage permissions and ensure that the appropriate level of access is granted to each group.
